Quick Digitals is a digital agency headquartered in the UAE that provides the development of software, digital marketing, cloud computing, and enterprise solutions to local customers.  They have cross-functional team is comprised of developers, UI/ UX designers, quality assurance engineers, digital marketers, project managers, sales consultants and support staff. 

The workforce management became complicated as the company continued to increase the number of clients. Project-based schedules, adaptable working hours, and hybrid schedules were used by teams. However, HR operations, such as attendance, leave monitoring, payroll, and compliance, were based on spreadsheets and manual work, which generated discrepancies between the real work trends and the correct HR information.  

We strategized and implemented a customized HRMS approach tailored to the needs of IT service provision, enabling growth and operational maturity.

Quick Digitals had HR issues that were unique to digital service and IT organizations. The old attendance systems were not able to support flexible schedules, hybrid work teams, or project-based workloads. Tracking by hand would make it difficult to synchronize the attendance data with actual working trends, which would cause inconsistency and conflict. 

Variable items like project incentives, performance bonuses, unpaid leaves, overtime and role related allowances led to the complexity of the payroll. The manual payroll calculations resulted in regular adjustments, delays as well as high dependency on full time HR employees. This was compounded by the fact that precise computations of gratuity and final settlement that were in accordance with UAE labor laws were required. 

There was decentralized leave management. Request was through email or instant messages, approval was difficult to keep track of, and balances were not updated automatically. The employees did not have the opportunity to access the records of attendance, pay slips and HR policies in real time, which resulted in a lot of queries and reduced transparency.

The system incorporated all the employee data, attendance, payroll, leave management, and compliance in a single system.  The rules regarding attendance were tailored to promote flexible schedules, the hybrid and role-based approaches and still regulate and comply. The fixed salaries, the incentives, allowances, deductions, unpaid leaves, and the computation of the gratuity according to the UAE conditions were all done with complete precision by the payroll automation.  

Self-service portal for employees enabled them to check attendance, salary slips, apply leave and view HR documents independently reducing dependency on HR.
