Client Overview
Quick Lease is a vehicle leasing and mobility solutions provider based in the UAE. They have drivers, fleet coordinators, operations supervisors, sales teams, and administrative staff in their workforce. Employees work in shifts, in a number of locations, weekends, and public holidays, and thus the workforce management is very dynamic.
As the company expanded, manual HR would not be able to maintain it. Paper or spreadsheets were used to track attendance, payroll, leave, and gratuity. It led to a discrepancy between driver activity and HR records.
Quick Lease required a centralized, shift-based HRMS that would assist in growth, compliance, and efficiencies in operations in line with the UAE leasing and mobility market.
Challenge
There was an inconsistency in terms of attendance tracking. Errors were caused by rotational shifts; work during off days and on holiday. Real working hours could not be accurately reflected on plastic registers and spreadsheets, resulting in payroll issues and employee dissatisfaction.
Payroll was highly complex. The drivers and staff had variable elements of salary, overtime, shift allowances, penalties, unpaid leave, and incentives. The computations were done by hand,which was time-consuming and prone to error. The UAE labour law required the accurate calculation of gratuity and final settlement, which made the process more complicated.
There was decentralization in leave management. Guidelines were communicated through WhatsApp, approvals were not easily monitored, and balances were not updated immediately. The workers could not access the attendance, pay slips or HR policies personally, which made them highly dependent on HR and lowered transparency.
Solution
The HRMS consolidated the employee records, shift-based attendance, payroll automation, leave workflows, and UAE compliance on a single platform. The drivers and field staff had attendance rules that were done in precise ways that followed overtime, late arrivals, early exits, work and off-day shifts on a public holiday as well.
Monthly salary processing was done through payroll automation, which included allowances, overtime, deductions, unpaid leaves, penalties, and bonuses. The computations of gratuity and end-of-service benefits were made in full and according to the laws in the UAE.
