As the number of vehicles rose, customer demand, and the level of operation, the HR operational management process became ineffective. Al Emad Cars was encountering serious people-based HR difficulties because of its people-intensive rental and sales business. The system was tracking attendance by hand, which meant that it was not easy to get the actual figures of working hours, schedules by shifts, late time arrival, overtime, and variations in the duties of the drivers.

The processing of payroll was a complicated issue that took time. The salaries comprised of fixed pay, commissions, overtime, allowances, deductions and unpaid leaves. Paper-based calculations used to create inconsistencies, revisions, and late payroll periods. Moreover, the operation was also strained by the adherence to labor regulations in the UAE like the calculation of gratuity, final settlements, and end-of-service benefits.

There was a decentralized informal leave management. The requests were made through WhatsApp or emails and leave balances were not updated in real time and approvals were done inadequately. This made the employees confused and became a burden of administration to the HR teams.

The staff was not given the access to the salary slips, attendance records, and leave balances, which caused numerous HR requests. The workforce costs, attendance pattern and payroll insights were also not centrally reported by management making the current HR structure inappropriate to a growing rental operation.

Quick Digitals designed a specific HRMS based on the operations of Al Emad cars, which are in the sales and renting of vehicles. Its system brought together employee data, attendance, payroll, leave management and compliance processes into one platform, which was secure.

Role-based access would allow administrators, Human Resource, managers, and employees to communicate with the system safely. The modules of attendance, leave, and payroll were closely connected, which guaranteed the real-time flow of the data and the correct salary processing.

A self-service portal have allowed its employees to access attendance history, payrolls, leave application and HR records by themselves- this again has helped to reduce the workload on the HR.
